Standard Operating Procedure for Student Counseling Services
Udayana University
Udayana University provides Student Counseling Services as a form of institutional support for students’ psychological well-being, self-development, and academic success. This service is designed to assist students in dealing with academic and non-academic challenges throughout their university life.
Purpose of Counseling Services
The Student Counseling Service aims to provide early assistance for students who experience difficulties during their study period. Counseling services help students identify problems, understand their conditions, and find appropriate solutions in a safe, supportive, and professional environment.
In higher education, counseling services are important because students often face different learning patterns, academic demands, social adjustments, and personal challenges. Through proper guidance, students are expected to develop better self-awareness, adaptive skills, and readiness to complete their studies successfully.
Scope of Services
Academic Counseling
Assistance related to study planning, learning difficulties, academic performance, course selection, and academic adjustment.
Non-Academic Counseling
Initial support for personal, social, emotional, behavioral, and other non-academic issues affecting students.
Academic Advisor Support
Academic Advisors serve as the first point of contact for students who need guidance and counseling support.
Professional Referral
Students who require further assistance may be referred to the University Counseling Service or professional counselors.
Roles and Responsibilities
Academic Advisors are responsible for guiding and counseling students in addressing academic and non-academic problems, providing consideration regarding students’ conditions, and monitoring the progress of students under their supervision.
Students are expected to follow university regulations, attend counseling sessions personally, and actively communicate the difficulties they experience. Every student has the right to receive guidance and counseling from their Academic Advisor or from a recommended counselor when further support is needed.
General Counseling Procedure
- Students may contact their Academic Advisor voluntarily or respond to an invitation from the Academic Advisor.
- The counseling session is conducted at an agreed time and place within the university environment.
- The Academic Advisor provides initial guidance and counseling based on the student’s condition.
- All counseling activities are recorded in the student guidance form or counseling card.
- Academic problems are handled by the Academic Advisor through academic guidance.
- Non-academic problems that require professional assistance are referred to the Udayana University Counseling Service.
- The Academic Advisor continues to monitor the student’s progress after referral.
Supporting a Caring Campus Environment
Student Counseling Services also play an important role in building a caring, responsive, and supportive campus environment. Every student problem, regardless of its scale, needs proper attention so that it does not develop into a more complex issue.
Therefore, students, lecturers, Academic Advisors, study program coordinators, faculty leaders, and university leaders are encouraged to work together in increasing awareness, strengthening communication, and creating a culture of mutual support within the university.
Psychological First Aid
Psychological First Aid is introduced as an initial psychological support approach for students experiencing crisis situations or emotional distress. Its principles include listening, protecting, connecting students with social support, modeling calm and positive behavior, and helping students understand healthy coping strategies.
