Announcement on the Authorization to Sign Rector’s Decisions and Assignment Letters at Udayana University

All heads of work units, officials, and staff at Udayana University are hereby informed that Rector’s Decision Number 1347/UN14/HK/2026, dated October 19, 2026, has been issued concerning the Authorization of Vice Rectors and Heads of Work Units to Sign Rector’s Decisions and Assignment Letters for and on Behalf of the Rector. This decision was circulated through Letter Number B/4463/UN14.II/HK.02./2026, dated October 19, 2026, issued by the Vice Rector for Resources.

This authorization aims to support prompt and accountable administrative services in accordance with Udayana University’s organizational structure. The heads of work units listed in the annex are authorized to sign Rector’s Decisions within the specified types and scope of their authority. Vice Rectors are authorized to sign Assignment Letters assigning personnel from multiple work units to duties within their respective areas of responsibility, subject to prior written approval from the heads of the personnel’s home units.

The authorization applies only within the scope specified in the annex, may not be further delegated to other officials, and does not automatically constitute a basis for honorarium or overtime payments. Assignment Letters for work falling under the responsibility of a single work unit must be signed by the head of that unit in accordance with their official authority. Assignments involving personnel from other work units require written approval from the heads of those personnel’s home units.

Rector’s Decisions and Assignment Letters concerning the establishment of task forces; the formation of committees or teams for work falling under the responsibility of more than one work unit; university-wide assignments or assignments representing the university to external parties; and strategic matters affecting the organization’s legal status, personnel matters, or budget allocations must continue to be signed by the Rector.

Authorized officials must comply with the applicable official document procedures and technical guidelines for assignment requests. Copies of signed Rector’s Decisions and Assignment Letters must be submitted to the Director of Organization and Human Resources no later than five working days after signing for entry in the assignment register. Authorized officials are also accountable to the Rector for the substantive accuracy and procedural compliance of the documents they sign.

This decision takes effect on October 19, 2026, and revokes Rector’s Decision Number 38/UN14/HK/2024. Rector’s Decisions signed under the previous provisions remain valid until their respective validity periods expire.

All relevant parties are requested to study and follow this decision and its annex in carrying out their duties and providing administrative services at Udayana University.

Please take note of this announcement and implement the provisions accordingly. Thank you for your attention and cooperation.
